Overview

 

Position is responsible for responding to daily facility help requests and assigned corporate facility related services. Assisting in aspects of office moves, office supplies, site access badges, mailroom processes and mail delivery. Role will also be required to assist in minor repair projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Develops a thorough understanding and working knowledge of the major systems and equipment in the site.
  • Provides hands-on resolution of all field emergencies, outages and issues related to Facilities on a 24/7 basis.
  • Inputs blanket work orders in AIM system for every vendor as needed.
  • Sets up new vendors in both Infinium and AIM systems and gathers required documentation.
  • Provides the overall maintenance and coordination of all facility related items to include maintenance, repairs, and oversee vendor coordination. Works with vendors on correct methodology for invoice submission.
  • Develops customer request tickets in the AIM system and prioritizes workload to meet customer needs.
  • Assists with the coordination of space planning, internal office moves, office supplies, project management, preventative maintenance and repairs. Assists in minor repair projects.
  • Assists with new and renewed ID badges required for Facilities vendors.
  • Works cross functionally to assist the Facility Supervisor with the installation and implementation of janitorial, landscaping, pest control, and other outsourced services.
  • Monitors NOC alarm box and dispatch P2 alarms as required.
  • Establishes and maintains databases for facilities equipment and vendors.
  • Maintains mailroom processes, supplies and mail delivery. Manages and assists UPS Campus Ship users across the region. Reviews UPS reports for cost reductions and educates users.
  • Reviews and manages utility issues from the Ecova system.
  • Inputs PO request via NPR system and routes for approval.
  • Communicates with employees on facility policies and procedures.
  • Establishes working relationships with key personnel and leverages understanding of interrelationship of departments.
  • May perform other additional duties and responsibilities as assigned.

EDUCATION and/or EXPERIENCE:

 

HS Diploma required. 1-2 years of experience working in a facilities department in a large office environment.

 

QUALIFICATIONS:

COMMUNICATION SKILLS:

 

Ability to read, analyze, and interpret general business periodicals, professional journals, corporate procedures/regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 

REASONING ABILITY:

 

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
